How Do I Book a Quoted Route?

Entering Shipment Addresses

Once a quote is selected, the booking process begins. Start by entering the origin and destination details in the Capture Addresses Screen.  Learn more about quoting in How do I get a Quote?

In this step, you will provide the Pickup Address and Delivery Address, these are mandatory for all shipments.

1. Adding a New Address

Click the grey box that reads "...or Add a new address." and you will be presented with an Address modal. Enter details such as:

  • Company name and street address

  • Contact information

  • Any applicable tax numbers

  • Filing data (e.g., KSMS number, duty payment preferences, Power of Attorney on file)

  • Click Save Updated Details to save this address to your Shipment.

2. Using Saved Addresses

  • Once a shipment is booked, any addresses included on that Shipment are saved in your Address Book.

  • For future shipments, select them quickly from the dropdown.

  • You can also Duplicate an existing address if you need a similar one.

3. Additional Fields

  • Purchase Order Number: You may add a PO beneath each address if relevant.

  • Exporter of Record / Importer of Record / Destination Agent: These are optional addresses. Each one can include all of the details included in the Pickup and Delivery address. Only add these addresses if these differ from your Pickup/Delivery addresses.

  • Special Instructions: Enter any delivery notes.

  • Billing Reference Number: Optional field for your own records, but may be mandatory for some customers. This requirement is set by your Exfresso administrator.

Customs Information

If your shipment is domestic and remains in one country, you will not see this screen.

If your shipment crosses an international border, you will be prompted to enter Customs data.

Once entered, this screen will provide an estimate of potential customs duties and taxes.

  • Important: This is only an estimate. Final amounts are determined by customs authorities.

Commodity Details

For each type of item in your shipment, you must provide:

  • Schedule B Code or Commodity Description

    • If unsure, you can look up Schedule B codes and descriptions online.
  • Quantity

  • Total Value

  • Total Weight

  • Country of Origin

  • License Type (if applicable)

  • ECCN (Export Control Classification Number) (if applicable)

Adding Commodities

  • You must add at least one commodity.

  • Add as many commodities as needed to fully represent the contents of your shipment.

Accuracy

The information you provide here is critical. Carriers will use it to make official declarations to government authorities and databases during transit.

Book Shipment

Once you are ready, click Book Shipment to finalize your booking.

Booking Confirmation

Your shipment has now been booked! You should now be on a Booking Confirmation screen.

This screen provides important next steps and reference information for your shipment.

1. Labels and Documents

  • This is the most important section.

  • You may be required to supply documents or print labels to attach to your shipment.

  • Review this section carefully, missing documents or labels can cause delays.

2. Packaging Requirements

  • Depending on the type of goods you are shipping, there may be specific regulations or packaging guidelines.

  • Ensure your freight is packaged in accordance with these requirements.

3. Other Notices

  • This section highlights additional information such as:

    • Your responsibilities regarding hazardous materials

    • Your insurance coverage and policy details

    • The scope of what is included in your shipment

  • A link is also provided to the Shipment Page, where you can track your shipment in detail as it moves through the world.
